1. What is COACHFOX and why should I use it?

Coachfox is an online marketplace that connects people with first-class business coaches via video, audio, chat or in personal sessions. We provide a detailed directory, easy scheduling, secure real-time conferencing, automated payment and invoicing – all in one place. Our vision is to become the go-to platform for personal development and professional growth.

2. Who can offer coaching on COACHFOX?

At Coachfox we place great importance on quality and professionalism. Therefore, we have created a standardized screening process for the selection of our coaches to ensure that they all have an academic degree as well as relevant coaching experience.

2.1. Are the job titles of the experts reviewed?

Who is a coach on coachfox?
A coach is a person that has completed a formal training that is recognized in europe.

Who is a psychologist on coachfox?
A psychologist on coachfox is a person that has a Masters degree in Psychology.
That has a “Diplom” or a Dr/PhD in Psychology.

Who is a psychotherapist on Coachfox?
A psychotherapist has completed the training to become a psychotherapist (in germany “Psychotherapeut” or “Psychologischer Psychotherapeut”)

Who is an advisor on Coachfox?
Advisors are people that are in the process of completing their training to become a psychotherapist, are in the process of completing their masters degree in psychology or are completing their training to become a coach.

Special rules apply to: “Lebens- und Sozialberater” in Austria
People that practice this occupation in austria are allowed to call themselves Coach and Advisor.

3. How much is a coaching session?

Each coach can set its own price, which is displayed in the profiles incl. VAT. This way you quickly can find the coach that best matches your budget.

4. How long is a coaching session?

For the purpose of comparison, the listing of all coaches displays each coach’s price for a standard unit of 45 minutes. However, depending on the coach, shorter and longer sessions can be booked – some coaches even offer a minute-based plan. The desired session length can be, depending on the offer, selected within the booking process.

5. What happens if the session takes longer or shorter than expected?

It’s up to you and your coach to change the session length if necessary. For every subsequent minute the proportionate rate per minute is charged (e.g. if a 45-minute session costs € 45, every subsequent minute costs € 1).
The scheduled session length, however, has to be paid in any case, even if the session ends before the scheduled time expires.

6. How can I get in touch with a coach?

Simply schedule an appointment on COACHFOX with your desired coach. As soon as the appointment is reconfirmed, you can start the videoconference at the agreed date and time by logging in to Coachfox and clicking the button “Start Coaching now”.

7. I requested an appointment. What shall I do now?

Now it’s time to wait for your coach to reconfirm the appointment. By sending multiple date proposals, your chances of finding a suitable appointment straightaway increase. We will notify you as soon as your coach reconfirms the appointment.

8. Can I cancel or change my appointment?

Yes, it’s easy. You can cancel or change your appointment within your profile page. Just login, click on your name in the upper right corner, go to „Next appointments“ and choose either „edit“ or „cancel“. Please remember to check the coach’s cancellation policies as shown on the coach’s profile page before making any changes to your booking.

9. How can I make sure that my appointment was successfully cancelled or changed?

After cancelling or changing your booking, you will receive a confirmation email. Please also check your spam or junk mail folder. In case you still can’t find an email from us, please contact us here.

10. What technical equipment is required to use COACHFOX?

With this automatic test, you can easily check whether you meet all the technical requirements.

In order to video talk with your coach, you need a sufficiently fast Internet connection (min 6 Mbit/sec) and a computer or laptop with a webcam and a microphone.

Coachfox only works with one of the following browsers:
Google Chrome version 31 or newer
Firefox version 24 or newer

11. Can I use COACHFOX on my smartphone?

Even though many of the COACHFOX functions are accessible on your smartphone or tablet, the video calling feature is currently only available on computers or laptops.

12. How does the video call function work?

The video call is directly taking place in your Internet browser (most suitable is Google Chrome or Firefox), which means that you don’t have to install any other software. By clicking the button “Start Coaching now” a direct connection between your server and the server of your coach is created and the videoconference is automatically launched – of course highly encrypted. In some cases the browser might request a permission to use your webcam and microphone. Thus, please watch out for any pop-up window to authorize access.

13. I forgot my password. What can I do?

Don’t worry. We all forget sometimes. You can reclaim a new password here or click on “Forgot password” within the login-menu and follow the instructions.

14. Can I delete my profile?

Send us a message to office@coachfox.com and we take care of deleting your profile.

15. How is my data used and protected?

Coachfox treats your data as strictly confidential and acts in compliance with all applicable data protection guidelines and regulations (click here for more information). We survey, process and use your personal data only to the extent necessary for the performance of the offered service, including communication purposes and the execution of contractual relationships between you and the coach.
All communication between you and the coach is encrypted using SSL. For your own protection, only your first name is visible for your coach. Your e-mail address and other data will not be forwarded to any third party. Any personal data required for handling the payment transaction is not stored nor used by Coachfox – the payment process is entirely handled by the certified financial service provider Mangopay. 16. Are COACHFOX sessions recorded?

No. Coachfox sessions are neither recorded nor stored. We are committed to ensure full privacy and security of your data.

17. Can I stay anonymous during the online coaching?

Yes, only your first name is visible to your coach. Beyond that, it’s up to you, how much you want to tell about yourself during your video call. If desired, you can even switch off the video transmission – this way your coach can only hear your voice.

18. Why do I need to give my credit card details?

We request your credit card details to confirm your booking of an appointment. Your credit card may be checked and pre-authorized to ensure that it is valid and/or that sufficient funds are available. Right after the check, the full amount will be available to you again. The payment will only be processed, once the coaching-session is over or if the cancellation policy of the respective coach has been breached. Authorization and payment are handled by the certified financial services provider Mangopay – we do not store or process credit card information.

19. How do you handle payment?

The entire payment process is handled over the the platform automatically. Upon completion of a session, the agreed fee is transferred from your credit card to the account of your coach und an invoice in PDF format is simultaneously sent to your e-mail address.

20. How can I make use of a free test session?

To get to know each other some coaches offer a consultation of 15 minutes free of charge. By clicking the corresponding filter, you can quickly identify who is offering free test sessions and book an appointment immediately.

3. How can I register as a coach?

You want to become a coach? Register here. Just fill in the form, upload a profile picture as well as relevant certificates and submit your application. We will then review your application and notify you as soon as your profile is authorized. Please bear with us, this may take up to 7 working days.

3.1. How should my profile picture look like?

The profile-picture is important for the first impression, please follow this guidelines.

Ideal:
Your face should be shown facing the camera and be properly lit
Simple and light background
Friendly facial-expression
Colored picture in high resolution

Improvable:
The surrounding is shown.: for example an office or other people
Dark background, shadows on your face
Black and white picture/low resolution

4. What documents are required for my registration as a coach?

To register as a coach, we ask you to upload scanned copies of all relevant certificates, licenses and permits that verify your competencies. Your documents will only be used for internal review processes and will be treated as strictly confidential.

5. When, from where and how often can I offer coaching sessions?

This is totally up to you. Be it from home or from your holiday house – the Internet and Coachfox make it possible. You can set your own availabilities and enjoy full flexibility.

6. How much can I charge for a coaching session?

You set your own prices. Please be aware that all prices, if applicable, have to include VAT. During the registration process you can define whether or not your services are subject to VAT.

7. How much do you charge for the use of COACHFOX?

Most features on Coachfox are 100% free of charge. We do not charge any set-up fees nor monthly fees. However, in case a coaching session is taking place over Coachfox, a 20% service fee of the total coaching fee is charged. In return, we offer integrated scheduling, 100% encrypted videoconferencing as well as automated payment processing. This way you can fully focus on your coaching service – we take care of everything else.

8. How can clients book coaching sessions with me?

Potential clients send you one or multiple coaching requests, upon which you get notified per e-mail. In your profile page under “Coaching requests” you can then accept or reject any requests according to your availability. Once you approved an appointment, you have to login at the scheduled date and time and start the videoconference. Please be aware, that only one appointment should be accepted per client at a time.

12. Can I offer a free test talk for new clients?

Yes, we highly value that. Our customers enjoy the possibility to get to know you first before paying for a coaching session. Additionally, all our coaches offering free test sessions are rewarded by receiving a higher placement in our listing. The option to offer one free test talk per client can be selected during your registration process or in your own profile view.

13. How do you handle payment?

The entire payment process runs automatically via the platform and is carried out by the financial services provider Mangopay. 15. Can I change the information on my profile?

Yes, changes to your description, offerings, fees, availabilities and cancellation policies can be made any time in your own profile view on Coachfox. However, please be aware that already booked sessions are always subject to the terms that have been on your profile at the time of booking.

16. Can I delete my profile?

Send us a message to office@coachfox.com and we take care of deleting your profile.
